This Privacy Policy explains how we use the information we collect about you, how you can instruct us if you prefer to limit the use of that information and procedures that we have in place to safeguard your privacy. You can visit the Website without disclosing any personally identifiable information about yourself.

By using this Website or submitting information to us through or in connection with this Website, you signify your consent to our collection, use and disclosure of your personal information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, you may not use this Website or submit information to us through or in connection with this Website.

1. The information we collect

When you visit the Website, you provide us with two types of information: (i) personal information about yourself that you choose to disclose to us (for example, when you register with the Website or form groups); and (ii) information about your use of the Website collected by us as you interact with the Website (such as your browser type and IP address, and information using cookies – see paragraph 6 below).

You may set up a personal profile, and post User Content (as defined in the Terms), on the Website, but you do so at your own risk. We cannot control the actions of other users with whom you may choose to share your profile or User Content. Therefore, we cannot and do not guarantee that your profile or User Content you post on the Website will not be viewed by unauthorised persons. You understand and acknowledge that, even after removal of User Content or deletion of your profile, copies of User Content or profiles may remain viewable in cached and archived pages or if other users have copied or stored your User Content or profiles.

2. How we use your information

We will use, store or otherwise process any personal information that relates to and identifies you, including but not limited to your postal address, e-mail address, telephone number and any other information you disclose or is collected on registration and through surveys to the extent reasonably necessary to provide the services that are available through our Website to you by us.

We process your information for the purpose of:

  • dealing with your inquiries and requests;
  • providing and personalising our services;
  • compiling your profile;
  • administering your membership records.

If you register with the Website, as part of our service we will send you regular newsletters and updates to keep you informed about GroupCom, Neighbo and other services we offer to members. However, GroupCom reserves the right to send you notices about your account even if you opt out of all voluntary email notifications.

You may also receive messages from the managing agent for your “Community" (being the building, development, estate, parish or other community in which you live and to which the Website relates). You may also consent to receive messages from other users of the Website. If you would prefer not to receive these, you may change your alerts settings on your dashboard or on the User Menu within any private group.

We will not share your information with third parties for promotional purposes, but we may wish to tell you about services offered by specially selected partners which we think may be of interest to you.

If you choose to upload User Content or to post messages in our forum or other message areas, we will collect that information you provide to us. We retain this information as necessary to resolve disputes, provide user support and troubleshoot problems as permitted by law.

You may choose to make your personal profile publicly available on the Website, although we would recommend that you use privacy settings to protect your personal data.

If you choose to use the “invite a neighbour” service, we will ask you for information needed to send the invitation, such as your neighbour's email address. We will automatically send your neighbour one email inviting him or her to visit the Website. We store this information to send this one email invitation, and to track the use of this service. Your neighbour may contact us at help@neighbo.com to request that we remove this information from our database.

If you stop using the Website or your permission to use the Website is terminated, we may continue to use your personal information in accordance with this Privacy Policy (as amended from time to time) and as permitted by law. However, if you wish us to stop e-mailing you with information in connection with the Website, please send your request in accordance with paragraph 5 below.

3. Information Security

The Internet is not a secure medium. However, we have put in place various security procedures as set out in this policy. Your personal data is protected by your user name and password, which you should never divulge to anyone else.

Please be aware that communications over the Internet, such as emails/webmails are not secure unless they have been encrypted. Messages sent via the Website or as part of GroupCom’s services are not encrypted. Your communications may route through a number of countries before being delivered – this is the nature of the World Wide Web/Internet. We cannot accept responsibility for any unauthorised access or loss of personal information that is beyond our control.

We believe that we have appropriate policies, rules and technical measures to protect the personal data that we have under our control (having regard to the type and amount of that data) from unauthorised access, improper use or disclosure, unauthorised modification, unlawful destruction or accidental loss.

  • our group companies (i.e. subsidiaries and holding companies);

  • third parties who assist us (where reasonably necessary) to provide the services to you,

We will not pass your information to anybody else. However, the Website contains features enabling you, if you wish, to share information with other users of the Website. The Website contains privacy settings to allow you to choose who has access to your information. You can write to us at any time to obtain a copy of your information and to have any inaccuracies corrected. Please quote your name, address and email address. We should be grateful if you would also provide brief details of the information of which you would like a copy or which you would like to be corrected (this helps us to more readily locate your data).

We will require proof of your identity before providing you with details of any personal information we may hold about you. A cheque for £10, payable to GroupCom Limited, should be sent with your request, as it is GroupCom Limited’s policy to charge £10, as allowed by statute, to cover the administration costs involved in providing you with a copy of your information.

In addition, the Website contains account editing tools (available by logging into your account), which enable you to update, modify or delete your personal information. Please note that removed information may persist in back up copies for a reasonable period of time. In addition, where you use communications tools available on the Website to share information with other users of the Website, you cannot generally remove such communications.

In the event the purposes for processing change, then we will contact you as soon as practicable and seek your consent where such notification relates to a new additional purpose for processing.

Owing to the global nature of the Internet infrastructure, the information you provide may be transferred in transit to countries outside the European Economic Area that do not have similar protections in place regarding your data and its use as set out in this policy. However we have taken the steps outlined above to try and protect the security of your information.
